Administrative Support Assistant (OA)

The Administrative Support Assistant reports directly to the Service Chief thru the Administrator Officer. He/She will be working closely with the Administrator Officer on complex assignments. He/She will plan and carry out the work of the office and handles problems and deviations in accordance with established instructions, priories, policies, commitments, and program goals of the service and accepted secretarial practices. He/She will perform the following duties:
Provides clerical and administrative support to the Administrative Officer, Surgical Staff Residents, and Service Chief. Primary duties include serving as the primary clerical and administrative support for the administrative staff under the Administrator Officer. Assists the Administrative Officer and Service Chief with tracking and follow-up actions concerning compliance issues to include but not limited to delinquent consults and encounters. Ability to serve as fund control processor and purchase holder for the service; Will work closely with Logistic department on SEPG and EER equipment request. Incumbent will assist with annual inventory of property for the service. Prepares request for office supplies, equipment, reports, turn-ins, work orders, etc. Ability to support administrative duties ranging from general forms and correspondence to highly technical and confidential papers, to include, but not limited to, processing travel requests, typing committee minutes; support Administrative Officer and assuming responsibilities of the Secretary to the Chief of Service or Clerk -Office Automation when necessary. Responsible for preparing memos for renewal appointment prior to expire date to prevent delay in Physicians appointments. Assists with pre-employment for new hires and renewal appointment. Work closely with UMMC to ensure accurate and timely posting of VA and UMMC medical roster. Provide timekeeping support for the service Will working closely with UMMC with residency/fellowship pay. Tracks and maintains a file for Clinical providers regarding licensure, BLS and ACLS. All other duties assigned by supervisor and management. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

The work is sedentary. Some work may require walking to offices, hospitals, warehouses and similar areas for meetings and to conduct work.
